# Users - Roles and Responsibilities

## Within the Cozero platform you can assign a number of different roles to users.

### What are the different user roles?

- **Admins** have all rights like a Manager and additionally they can manage and view the whole Organization, e.g. editing/deleting user functions. Any other administrative rights such as access to data exports, API keys as well as upgrades to the pricing package sit with the Admin.
- **Managers** have all rights as a user and in addition they can create and edit Locations & Products for those Business Units they are a Manager for. Additionally, they can invite Users, manage Business Units as well as override Emission Factors.
- **Users** have access to locations and business units that are fixed by Managers and Admins. They can add and edit content within this view. Users can also create logs and view data as well as edit or delete logs.
- **Viewers** have read-only permission for the Cozero Share, Log and Act module, which includes for instance viewing the Share page, the Act or Log reports. However, Viewers have no editing permission for Log, Act or Share.
- **Suppliers** are those providers of goods and services to the reporting company. They have no access rights to a user's account. However, users of Cozero can issue data requests to suppliers via the software.

### How to invite Users?

**• Step 1:** Log-in to the Cozero platform.
**• Step 2:** Click on the "Organization" option at the bottom left of the screen and select "Organization settings" from the drop down list.
**• Step 3:** Click on “Users”.
**• Step 4:** To create a new User click on “Invite user” on the right.
**• Step 5:** Fill out the required fields. If you wish for a user to only access one business unit this is where you can assign them a specific business unit - they will only see/edit data for this area.
**• Step 6:** Click on “Invite”.
**• Step 7:** The User you want to invite, gets an email and invitation for the Cozero platform which grants him/her access to the Business Units you assigned him/her to.

### How to change a User's profile?

**• Step 1:** Log-in to the Cozero platform.
**• Step 2:** Click on the "Organization" option at the bottom left of the screen and select "Organization settings" from the drop down list.
**• Step 3:** Click on “Users”.
**• Step 4:** Find the “User Profile” you want to change.
**• Step 5:** Click on “Edit” next to the user‘s name.
• Step 6: Change the respective input fields.
**• Step 7:** Click “Save” to save changes.

If you want to delete a user, click on the red button “Delete User”. Note: The user will be deleted immediately thereafter.

### What are User Functions?

User functions allow you to extend the concept of how a user accesses the platform. When you create (or edit) a user you can assign them to a business unit as described above. If you wish to assign them to more than one business unit, you can create a user function. With user functions, you can create a “function” in which you assign more than one business unit. User functions can be applied to users that are: “Viewers”, “Managers”, and “Users. No user functions can apply to Admins since they can always see all data.

### How do I create a user function?

**• Step 1:** Log-in to the Cozero platform.
**• Step 2:** Click on the "Organization" option at the bottom left of the screen and select "Organization settings" from the drop down list.
**• Step 3:** Click on “Users functions”.
**• Step 4:** Click “Create user function”.
**• Step 5:** Give the user function a name.
**• Step 6:** Select the appropriate business unit you would like to include, you can select more than one. Once selected you’ll see the business units at the bottom.
**• Step 7:** Click “Submit” to save changes.
**• Step 8:** Click “Users”, and “Edit” your user.
**• Step 9:** Select a “Function” for this user and click “Save”.
